Scope and the clinic's role

Clinics decide which patient information to enter, which staff may use it and which communications to request. The clinic's own privacy notice also applies to its care and patient-record decisions. Features and communication services vary by clinic and configuration. This notice describes data handling; it does not mean every feature or messaging service is enabled for every clinic.

Dentiaro's marketing website has a separate website privacy notice.

Information used by the application

Clinic and staff accounts: clinic details, staff names, email addresses, roles, account status, sign-in information and authentication credentials. Passwords are stored as hashes.

Clinic records: patient names and identifiers, contact details, dates of birth, addresses, emergency contacts, booking requests, appointments and administrative notes. Where the relevant features are available and used, records can also include clinical notes, diagnoses, treatments, prescriptions, invoices and payments. These records may contain health information.

Communication preferences and history: permission choices, the notice and method used to record WhatsApp permission, the staff member recording it, dates, recipient and delivery identifiers, appointment-message parameters, delivery status, errors and related usage or billing records.

WhatsApp connection information: the selected WhatsApp Business Account and phone-number identifiers, display phone number, connection state, authorization evidence, access token and token expiry. Connection access tokens are encrypted when stored by the application.

Service operation information: session information, security and activity records, and technical logs used to operate and troubleshoot the service. Backups may contain application information.

How information is used

Dentiaro uses this information to provide clinic access, organize appointments and records, apply staff permissions, deliver enabled appointment notifications, maintain permission and delivery evidence, administer subscriptions and messaging usage, and investigate technical or security problems.

The clinic is responsible for its patient-care decisions and for choosing the information and communications it asks Dentiaro to process.

WhatsApp and Meta

When a clinic connects WhatsApp, Meta's authorization flow identifies the WhatsApp Business Account and phone number it permits Dentiaro to use. The application checks the selected account and phone-number authorization. The connection and messaging features depend on the required setup and availability.

Where WhatsApp sending is enabled, appointment confirmations, reminders and cancellations use configured templates and recorded patient permission. Data sent to Meta can include the recipient phone number, patient first name, appointment date and time, service name, dentist name, clinic name and clinic phone number, depending on the template. An appointment or service name can reveal information about a person's care. The appointment permission notice does not authorize marketing messages.

Meta can send Dentiaro delivery updates and incoming message events for a connected business number. Events can include phone numbers, message identifiers, timestamps and message content. Dentiaro uses supported events for delivery status and withdrawal handling. This integration is not a general clinical chat inbox. Contact the clinic directly for clinical questions, urgent matters or appointment changes that require a reply.

Meta and WhatsApp process information through their own services and privacy policies. Removing Dentiaro's access does not itself remove information already held by Meta or by the clinic.

Access and service providers

Clinic users access application information according to their assigned clinic and role. Dentiaro uses hosting and communication services to operate the application. Information needed for an enabled messaging or payment service is processed by the relevant provider. Meta processes WhatsApp connection and messaging information.

Contact info@dentiaro.online for the provider and data-processing arrangements relevant to your clinic, including any location or transfer requirements you need to establish before using the service.

Choices, correction and deletion

Patients can contact their clinic to correct details or withdraw permission for WhatsApp appointment messages. Clinic owners can disconnect a connected WhatsApp account in Dentiaro. This clears the application's usable connection token and disables the local connection; it does not automatically erase account, delivery, usage or permission history. Review the application's permissions separately in Meta's business settings if you also want to remove Meta access.

To request access, correction or deletion, email info@dentiaro.online with your clinic name, the contact detail associated with the request and what you want reviewed. Do not include passwords, access tokens or clinical records in your initial email. We may need to verify your identity or authority and coordinate with the responsible clinic. Read the data-deletion instructions for the request steps.

Retention and security

Deleting a staff login, archiving a patient and disconnecting WhatsApp are different actions. They do not automatically erase all clinic information. Records used for clinic operations, billing, security, permission and opt-out handling can remain after a connection is disabled. A deletion request requires review of the affected records and any continuing need to retain particular information. Backup copies require separate handling from active records; disconnecting an account does not immediately remove every backup copy.

The application includes access controls, password hashing, encrypted storage for WhatsApp connection tokens and authentication of Meta webhook requests. Clinics should restrict staff access and enter only information needed for their work.
